Privacy Policy
How Opernox handles website, onboarding, portal, client, and automation data.
1. Who this policy covers
This Privacy Policy explains how Opernox collects, uses, discloses, and protects information in connection with the Opernox website, client portal, onboarding, automation systems, booking flows, and related services.
Opernox is a business service. It is not intended for children or for personal, household, or consumer use.
2. Information we collect
- Contact and onboarding information, including name, company, email address, phone number, website, business model, offer details, intake answers, and consultation notes.
- Account information, including login email, authentication identifiers, role, seat assignment, payment or onboarding status, acceptance records, security events, and support requests.
- Client content and system data that you or your team provide or connect, including leads, campaign settings, messages, creative assets, calendar data, CRM records, booking details, analytics, ad account metadata, social account configuration, and workflow instructions.
- Usage and technical data, including IP address, device/browser data, log data, feature usage, integration status, error reports, and operational telemetry needed to secure and run the service.
- Public or third-party-source data that the client instructs Opernox to collect, enrich, monitor, or process as part of an approved growth, outreach, visibility, or reporting workflow.
3. How we use information
- Provide, secure, maintain, monitor, and improve Opernox and connected client systems.
- Set up client workspaces, accounts, seats, automations, campaigns, reporting, booking flows, and integrations.
- Run client-directed workflows such as lead discovery, outreach preparation, CRM updates, booking operations, content operations, visibility monitoring, and business reporting.
- Communicate about onboarding, support, security, billing, product changes, and service administration.
- Detect abuse, debug errors, enforce legal terms, comply with law, and protect Opernox, clients, prospects, and third parties.
4. Service providers and integrations
Opernox uses third-party service providers and integrations to host, authenticate, store, analyze, automate, communicate, and operate the service. These may include cloud hosting, database/authentication, payment, email, calendar, advertising, analytics, browser profile, scraping/enrichment, and social platform services.
When a client connects a third-party account or asks Opernox to operate through a third-party tool, the client remains responsible for having the right to use that account and for complying with the third party terms that apply to it.
4A. Google user data (Limited Use)
If you connect a Google account, Opernox requests only the Google permissions needed for the feature you turn on, such as Google Calendar for bookings, Gmail for reading and sending your own inbox messages, Google Docs, Sheets and Drive files created by Opernox, and Search Console for your own site reports. You can disconnect at any time, and you can also remove access from your Google Account security settings.
Opernox use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Google user data is used only to provide and improve the user-facing features you requested. We do not sell it, we do not use it for advertising, and we do not use it to develop, improve, or train generalized AI or machine learning models. We do not allow humans to read it unless you ask us to for support, it is needed for security or to enforce the law, or the data is aggregated and anonymized for internal operations. Where an AI feature drafts a reply or summary from your Google data, it does so only for you, inside your workspace.
Google user data is transmitted over encrypted connections, stored with access limited to your workspace, and deleted when you disconnect the account or delete your workspace.
5. How we share information
- With service providers and subprocessors who help operate Opernox under appropriate confidentiality and security obligations.
- With integrations, platforms, and accounts that you connect or instruct us to use.
- With your authorized team members, seats, admins, contractors, or representatives.
- When required by law, legal process, security needs, fraud prevention, or to enforce our agreements.
- In connection with a business transaction such as a merger, acquisition, financing, or asset sale.
6. No sale of personal information
Opernox does not sell personal information. Opernox also does not knowingly share personal information for cross-context behavioral advertising. If this changes, we will update this policy and provide required opt-out mechanisms.
7. Data retention
We keep information for as long as needed to provide the service, maintain security and audit records, comply with legal obligations, resolve disputes, enforce agreements, and preserve legitimate business records. Client data can be deleted or exported according to the applicable services agreement, legal requirements, and technical limitations.
8. Security
We use administrative, technical, and organizational measures designed to protect information. No system is perfectly secure. Clients are responsible for using strong passwords, limiting seat access, protecting connected accounts, and promptly telling us about suspected compromise.
9. Client-controlled data
For many workflows, Opernox acts on the instructions of a business client. The client is responsible for the legality, accuracy, permissions, notices, consent, opt-outs, suppression lists, and retention rules that apply to the data and campaigns the client asks Opernox to process.
10. California privacy notice
If the California Consumer Privacy Act or similar state privacy laws apply, eligible residents may request access, deletion, correction, portability, opt-out of sale/share, limitation of sensitive information use, and non-discrimination for exercising privacy rights.
To submit a privacy request, email the contact below. We may need information to verify the request and may deny or limit requests where permitted by law.
11. International use
Opernox is operated from the United States. If you access or use the service from another jurisdiction, you understand that information may be processed in the United States and other locations where our providers operate.
